2. INFORMATION WE COLLECT & CUSTOMER ACCOUNT CREATION

When you book a journey, request a quotation, or register on our website, we collect the following personal information:

• Identity & Contact Details: Full Name, Mobile Telephone Number, and Email Address.

• Automated Customer Account Creation: Upon submitting a booking, a secure Customer Account is automatically created and/or updated in our booking portal using your name, mobile phone number, and email. This account enables passenger authentication, automated journey dispatch updates (via SMS/WhatsApp/email), real-time driver tracking, itinerary amendments, and access to download official VAT invoices.

• Journey & Flight Information: Pickup and drop-off addresses, flight numbers, airport terminals, scheduled collection dates/times, passenger counts, and luggage specifications.

• Payment & Billing Information: Billing addresses and secure payment tokens. All credit/debit card transactions are processed through encrypted, Level 1 PCI-DSS compliant payment gateways (such as Stripe). We do not store full payment card numbers on our servers.

• Technical & Security Data: IP address, device type, browser metadata, and session cookies used for fraud prevention and platform security.

3. PURPOSES & LAWFUL BASES FOR PROCESSING (UK GDPR ART. 6)

We process your personal information under the following lawful bases:

• Performance of a Contract (Art. 6(1)(b)): Creating and maintaining your Customer Account, dispatching chauffeurs, monitoring flights, and fulfilling your executive transport agreement.

• Legitimate Interests (Art. 6(1)(f)): Sending critical dispatch alerts (driver name, phone number, vehicle registration), flight delay adjustments, account security, and customer service.

• Legal Obligation (Art. 6(1)(c)): Maintaining trip manifests and financial records required under Transport for London (TfL) private hire operator regulations and HMRC tax laws.

• Consent (Art. 6(1)(a)): For optional promotional updates, which you may withdraw at any time.

4. DATA SHARING WITH THIRD PARTIES

We only share data strictly necessary to fulfill your booked journey:

• Allocated Chauffeurs: Provided with passenger name, pickup/destination details, and contact number solely to execute the specific booked journey.

• Flight Tracking Providers: To automatically track arrivals and adjust dispatch times.

• Payment Gateways & Communication APIs: For secure tokenized card processing and transactional dispatch SMS/email notifications.

We never sell, rent, or trade your personal information to third-party marketing companies.

5. DATA RETENTION & SECURITY

We retain Customer Account details and booking records for as long as necessary to provide transportation services and fulfill statutory tax, accounting, and private hire licensing requirements (typically 6 to 7 years). We implement strict technical and organizational safeguards, including TLS 1.3 encryption in transit and AES-256 encryption at rest.

6. YOUR UK GDPR DATA PROTECTION RIGHTS

Under the UK GDPR, you have the following rights:

• Right of Access: Request a copy of your personal data and booking history.

• Right to Rectification: Request correction of inaccurate or outdated contact information.

• Right to Erasure ("Right to be Forgotten"): Request the deletion of your Customer Account and personal records, subject to statutory retention obligations.

• Right to Restrict or Object: Restrict or object to specific processing activities.

• Right to Data Portability: Receive a machine-readable copy of your personal data.
